EOM Homecare managed caregiver recruiting, onboarding, and document tracking in spreadsheets and shared Google Drive folders. The challenge

Processes were not well defined, documents lacked standardization, and historical reporting on onboarding progress was extremely difficult. Applications arrived by email and were manually entered into spreadsheets. Onboarding documents were loosely connected to caregiver records by name only. After onboarding, caregivers were manually entered into Medflyt for case management, with no structured connection between systems beyond name matching. The overall process was manual, unstructured, and difficult to track across stages.

The solution

EOM Homecare implemented a structured recruiting and credentialing workflow on Pulse, establishing a defined applicant lifecycle from submission through screening, documentation, certification tracking, compliance stages, and readiness.

• Structured applicant lifecycle: application sections, stage management, action-stage automation, validation logic, interview status automation, and Chatter-triggered updates
• Apploi integration: new submissions automatically create structured application records, with customized field mappings and stage and certification logic triggered by the integration
• Embedded e-signature: forms and e-signature live directly inside application stages, including certification forms and the CHRC form (DOH 102), connected to the application record
• Guided workflow experience: restructured certification upload logic, removal of redundant fields, and page layouts and visibility controls adjusted to guide each stage

The results

EOM Homecare moved from spreadsheet-based recruiting and document tracking to a centralized applicant lifecycle system. Application intake, screening, certification tracking, and compliance stages are managed in one defined workflow structure rather than disconnected spreadsheets.
